Rackmount Solutions: Cleaning Out the IT Closet

Today’s business moves at the speed of data. A company’s ability to compete is often only as good as its ability to compute. All the data generated by commerce finds a home in a data center. Streamlining Inventory and Enabling the Virtual Warehouse
Five years ago, Rackmount Solutions began fulfilling orders from the company’s home base and warehouse in Garland, Texas located just outside of Dallas.

Typical shipments included smaller items like keyboards, power strips and cables as well as bigger, heavier items like air-conditioned steel cabinets, shelving systems and wall-mounted racks. Rackmount Solutions’ warehouse staff created shipping labels by hand, filling out detailed address information for each shipment. This process was time consuming and ripe for errors.

UPS WorldShip integrated directly into QuickBooks software, enabling warehouse staff to simply enter invoice numbers to create complete shipping labels. Data entry errors went down and efficiency went up. But growing pains extended beyond the local warehouse.

“We started with one warehouse,” said Rackmount Solutions shipping manager, Frank Deen. “As we grew, we realized there were some items we could not warehouse ourselves and remain cost efficient. We ship from seven or eight locations around the country, depending on what the item is and where the customer is located.”

Partner vendors and manufacturers could drop ship, but that introduced a new level of complexity. “Our typical customer wants to know exactly when his shipment leaves the dock,” explained Deen. “Products shipped from our partners weren’t in our shipping system. If we, or a customer, needed to know where an item was, we had to call the partner warehouse, resulting in time delays and multiple calls.”

UPS Quantum View gave Rackmount Systems a comprehensive daily report of all small package shipments from the company’s local warehouse as well as from partner vendors and manufacturers.

“The tracking numbers show us the exact progress of each shipment – when it was picked up, where it is currently, when it is expected to be delivered and the delivery address,” said Deen. “When a customer calls, we can tell them exactly where their merchandise is or they can use the tracking number to monitor it themselves.”

This level of integration also enables flexibility. With the ability to monitor its supplier shipments, Rackmount Solutions no longer needs to maintain a large warehouse inventory in one location. This reduces overhead costs for the company and allows Rackmount Solutions’ customers to receive products faster and at less cost.

It’s All about the Customer
